Flexi-Office FAQ’s
GENERAL
Do I need to book the days and times I want to use the Business Centre in advance?
No, once you have chosen your Flexi-Office option you are free to come and go as you please as long as you have enough time allocated for using the Business Centre and within Flexi-Office opening hours.
Why do I need to log in and out at reception and what happens if I forget?
We need to keep a record for health and safety reasons of who is using the building but it is important for our Flexi-Office tenants to record the time they enter and leave the building so that the correct amount of time can be deducted from your allocation. For those tenants who do not record their time out a full day’s time will be recorded.
How do I top up my allocated time and how much will it cost?
You simply let reception know how many additional hours you require and an invoice will be issued for payment. Costs are itemised on the summary charges sheet provided in your welcome pack. Additional hours must be paid for in advance.
Can I use the car park and how much does it cost?
Yes you can use the car park and you can pay for a token each visit or benefit from a monthly rate available to frequent users. For Flexi-Office tenants and visitors using the Costa Coffee pod in the atrium to purchase a hot or cold beverage a token will be issued to allow free exit from the car park.
Can I have visitors coming to see me in the building?
Yes they simply come to reception and let us know they are here to see you. We will ask them to wait in the foyer and inform you of their arrival. We ask that you use the atrium, upstairs break-out spaces or dedicated meeting and conference rooms depending on your requirements to meet with your visitors as using the Business Centre may distract other Flexi-Office tenants.
Where can I get food and drinks?
We have kitchen facilities on each floor if you wish to bring your lunch and drinks in with you and there is a Costa Coffee Pod in the atrium that sells a wide range of hot and cold food and beverages.
What happens if I have problems with my IT equipment?
Your IT equipment is your own responsibility and we cannot provide ongoing support should you have problems. However our on-site IT support team will help you to set up your equipment if necessary so that you are able to access the services you need in the building during your initial set-up.
Is there a concierge service I can use?
Yes our reception team can organise a range of services including transport, accommodation, dry cleaning, flowers etc for a small administration fee. Enquire at reception for further details.
ACCESS
Will I have a swipe card to access the building?
Depending which Flexi-Office and / or car parking option you choose you may have your own swipe card. If not you will have access to all communal areas of the building in addition to the Business Centre.
If I want to stay later than 9pm on a weeknight what do I need to do?
If you choose the Flexi-Office permanent option you have access to the building 24/7 the same as individual office tenants. If you choose any of the other Flexi-Office options you will need to vacate the Business Centre before our security cover secures the premises for the evening.
Can I use the building over the weekend?
Yes, the building is open on Saturday but not Sunday unless you take the Flexi-Office permanent option whereby you can access the building 24/7.
I am a Flexi-Office permanent tenant, how do I access the building outside normal hours?
You will need your swipe card and some form of company ID. The security lodge located on the business park (opposite the Innovation Forum) is manned 24/7 and a security guard will give you access to the building. You must inform the security guard when you leave the premises so that he can then secure the building.
SECURITY
Can other people use services on my account, i.e. make phone calls?
It is your responsibility to activate and deactivate your telephone access by entering a unique PIN number into your system. You must remember to log out to ensure your account cannot be used by others in your absence as the communal space is used by various tenants throughout the week.
What if I want to leave some of my belongings in the Business Centre?
Unless you have taken the Flexi-Office permanent option we do not provide secure lockable space for tenants to leave their belongings. If you do leave items in the Business Centre you do so at your own risk but it must always be with the prior agreement of the management team.
How am I charged for postage, photocopying and faxing services?
You will be given various codes for these services which will be invoiced on an as-used basis each month.
ROOM HIRE
How do I book meeting rooms?
We have two smaller meeting rooms on the ground floor which you can book through reception.
How do I book conference rooms?
We have a large conference room and three board rooms on the first and second floors. Bookings for these rooms must be made through the conference office who are available on 0161 743 3502 or conferencing@innovation-forum.co.uk – make sure you let the conference team know that you are a tenant to qualify for your room hire discounts.
